Multiple Regional Passes and Exchange

Hi There,

We are travelling to Japan in Jan/Feb and are about to purchase our passes, but I wanted to make sure I am doing the right thing.

We are hoping to purchase the below pass for the applicable dates:
Kansai-Hiroshima Area Pass (15/01-19/01)
Osaka-Tokyo Hokuriku Arch Pass (21/01-27/01)
Osaka-Tokyo Hokuriku Arch Pass (28/01-03/02)

My main question is when exchanging the passes, do they have to be done on the day of use, or can they be activated all at once or a few days prior?
The reason I am concerned is we will be in Hakuba as of 25/01 and won't be near any of the eligible exchange stations for our final pass.
