JR Rail Pass

Please help me, I am traveling with my family and will be in Japan for 8 days. I am arriving in Tokyo on Sunday night at 7:00pm. We intend on staying in Tokyo for several days and then will travel to Kyoto and return to Tokyo for one night going back to the airport on Sunday.

We will be arriving and departing from Narita Airport and would like to take the bullet train to Kyoto, returning to Tokyo.

How do I get reserved seating for the various trips and how can I get a return ticket to Narita Airport because my pass will be expired?

I am arriving in Tokyo on October 20th and I am concerned I don't have time to receive the passes for the train?
